What is here is the unglamorous, extremely effective way I actually use AI day-to-day to run my business without losing my mind – or pretending that “chaos is just part of growth.”

The Big Shift: AI Isn’t the Boss - It’s the Filter
Most people get AI backwards.
They try to make it:

- the decision-maker
- the magical brain replacement
That’s how you end up with 47 half-built systems, a custom GPT you don’t trust, and a weird sense of guilt because “AI should be saving me more time than this.”
Here’s the actual hierarchy that works – and yes, I learned this the hard way:

The Influencer Lies I’m Actively Not Participating In

No. One prompt changed one task.
The systems changed everything.
Prompts don’t scale. Patterns do.
Lie #2: “Just build a custom GPT and you’re done”
A custom GPT without documented workflows is just chaos with a UI.
If you don’t know:
- what goes in
- what comes out
- what decisions it’s allowed to make
you didn’t build a system – you built a liability.
Lie #3: “AI replaces thinking”
AI replaces remembering, sorting, repeating, and following up.
If you outsource thinking, you don’t get leverage – you get confusion faster.
Lie #4: “You don’t need documentation anymore”
This one is my personal favorite lie because it sounds modern and is completely wrong.
AI needs documentation.
Otherwise, it just guesses politely.
What My Business Looked Like Before (Be Honest, This Might Be You)
Before I got serious about using AI correctly, I was:
- Running on memory and vibes
- Rebuilding things I already built
- Resentful while being “helpful”
- Calling chaos “just part of growth”
I wasn’t lazy.
I wasn’t unmotivated.
I was mentally overloaded.
And here’s the realization that changed everything:
Burnout wasn’t coming from hours worked.
It was coming from being the operating system.
Once I saw that, I stopped trying to “optimize” and started replacing.
Workflow #1: Daily Documentation → Content (This Changed Everything)
This is the backbone.
Everything else stacks on top of this.
What I used to do:
- Try to remember what happened during my day
- Sit down to “create content” from scratch
- Feel fake, behind, and annoyed
What I do now:
I document my day once – then AI does the sorting.
Not journaling.
Not aesthetic reflections.
Straightforward, slightly messy daily logs.
What happened.
What annoyed me.
What worked.
What didn’t.
AI then helps me turn that into:
- social posts
- blog drafts
- email ideas
- talking points
Not because it’s creative – but because the raw material is real.
I’m not asking AI to invent insights.
I’m asking it to organize my lived experience.
That’s the difference between content that converts and content that feels hollow.
Workflow #2: CEO Dashboards Instead of Inbox Checking
This is where AI becomes a decision filter instead of a distraction.
Old behavior:
- Open inbox
- React to whoever is loudest
- Confuse urgency with importance
New behavior:
I look at dashboards and summaries – not raw inputs.
AI helps surface:
- what actually needs a decision
- what’s already handled by a system
- what can wait
This does two things immediately:
- Reduces emotional reactivity
- Protects strategic thinking time
If your day starts in your inbox, your business is already running you.
Workflow #3: Using AI to Decide What Not to Do
This one is underrated and incredibly powerful.
Most people ask AI:
“What should I do today?”
I ask:
“What can safely be ignored?”
AI helps me:
- spot patterns
- identify non-issues
- see what’s noise vs signal
This is how I stopped overworking without dropping balls.
Not by doing more – by removing fake urgency.
Workflow #4: Batch Scheduling Without Burning Out
Batching used to feel like punishment.
Now it feels clean.
Here’s why it works now:
- Content comes from daily documentation
- AI helps group by theme
- Scheduling happens in focused windows
No creative pressure.
No “what should I post?” spiral.
AI isn’t writing my voice – it’s organizing my thoughts so I can use my voice intentionally.
Workflow #5: Blog Creation Based on Real Life (Not Trends)
This blog?
It came from patterns I’ve already lived.
AI helps me:
- spot recurring frustrations
- connect ideas across weeks
- structure long-form content logically
But the substance comes from experience.
If your AI-generated content feels empty, it’s usually because you didn’t feed it reality.
Workflow #6: Sales Follow-Up Without Babysitting
This one eliminated so much resentment it’s not even funny.
Before:
- Remember who to follow up with
- Feel awkward
- Let leads die quietly
After:
AI-assisted systems show me:
- where leads stall
- when follow-up is needed
- what’s actually happening
“If they don’t respond, the system does.”
No chasing.
No guessing.
No emotional labor disguised as sales.
Workflow #7: Using AI to Fix Broken Processes (Not Build New Shiny Ones)
This is where most people go wrong.
They use AI to:

I use AI to ask:
- Where is this breaking?
- Why does this require me?
- What assumption is wrong?
AI helps clean up chaos before it scales.
Because automating a mess just gives you a faster mess.
What Actually Changed (And Why This Sticks)
AI didn’t:
- make me work harder
- make me more disciplined
- make me “better”
It removed the invisible labor.
The remembering.

The mental juggling.
That’s why this works when hype fades.
The Truth Most People Don’t Want to Hear
AI doesn’t fix:
- unclear standards
- weak boundaries
- undocumented processes
It exposes them.
That’s uncomfortable – and incredibly useful.
